ChatGPTbest project management software for remote teams

For a distributed team the right tool depends on how much structure you want and how many people need to see the plan. These are the ones that come up most often:

1.

AsanaAsanaYouPosition#1of 5 — the usual starting point for distributed teams. Timeline, board and calendar views all read from one plan, so nobody has to ask where the source of truth lives. Onboarding is quick for non-technical teams, the free tier is genuinely usable up to 10 people, and reporting rolls up without extra setup.

2.

Monday.comMonday.comPosition#2of 5 — highly visual and very fast to configure, which suits teams that want to shape the tool around an existing process. Automations are strong out of the box, though per-seat pricing climbs once you add viewers.

3.

TrelloTrelloPosition#3of 5 — the easiest way in and free for small teams, with a kanban board everyone already knows. Setup takes minutes rather than days, though reporting is light once teams grow past a handful of projects.

4.

ClickUpClickUpPosition#4of 5 — the most feature-dense of the group, with docs, goals and time tracking bundled in, so it replaces several tools at once. That breadth is also the trade-off: new users often find it overwhelming in the first week.

5.

NotionNotionPosition#5of 5 — excellent when the plan and the documentation should live in the same place, and it is unusually flexible for teams that want to design their own system. Less suited to hard dependencies and resource planning.

Buying moved.
The measurement did not.

Three findings, from published research rather than our own marketing. Each one links to its source.

51%

of B2B software buyers now begin research with an AI chatbot more often than with Google, up from 29% in April 2025. Surveyed across 1,076 decision-makers in March 2026.

G2 · 2026
69%

chose a different software vendor than they originally planned to, based on what an AI chatbot told them. One in three bought from a vendor they had never heard of before.

G2 · 2026
2.9%

of AI citations point at a brand's own domain. Across 149,912 citations from 102 tracked brands, almost everything an engine reads about you is published somewhere else.

The questions that decide the shortlist.

Ranqo generates and tracks the unbranded questions your category actually gets asked. Unbranded on purpose: a prompt naming your own brand almost guarantees a mention, which inflates the score and teaches you nothing.

[01]GuideAI Visibility for SaaS: The Complete B2B Playbook44% of B2B SaaS companies are functionally invisible to AI buyers. Yet 73% of B2B buyers now use AI tools in their research, and ChatGPT is the most-used research tool by 3x. This is the playbook for getting your SaaS product cited when buyers ask AI for recommendations.10 min read[02]GuideAI Visibility for E-commerce & DTC Brands: It's Research-and-Handoff, Not SearchAI traffic to US retailers grew 393% YoY in Q1 2026 (Adobe), and AI shoppers convert 42% better than non-AI traffic. But the killer finding most articles miss: Google AI Overviews cite retailers in only 4% of shopping responses while ChatGPT cites them 36% — a 9x platform asymmetry that breaks every uniform 'multi-platform AI strategy.' This deep dive reframes DTC AI visibility as research-and-handoff (not search), names the four AI shopping surfaces, walks through the Amazon citation moat that no schema fixes, and gives a 12-question DTC checklist.20 min read[03]StrategyThe 5 Page Types AI Cites Most (and Where Comparison Pages Actually Land)Five page types take 85.5% of all content citations across 149,912 measured AI citations. [ FAQ ]

Brands,
answered.

A ranking tells you where your page sits on a results page a buyer may never scroll. Ranqo tracks the answer itself: whether an assistant names your brand when someone asks for a recommendation, which competitors it names alongside you, where you sit in that list, and which sources it read to decide. Increasingly the shortlist is built inside that answer before anyone visits your site.
Yes. The examples on this page run through software, running shoes and law firms because those show how differently AI assembles an answer per category, but Ranqo tracks any brand in any category, and the setup is the same either way: your name and your domain. The prompts, competitors and sources it finds are your category's own.
Around 20 unbranded starter prompts generated from your category, spread across discovery, comparison, use case and expert questions. They are unbranded deliberately: a prompt containing your brand name almost always returns a mention, which inflates the score without telling you anything about genuine discovery. You can add your own prompts, branded ones included, at any time.
No. Visibility tracking needs only your brand name and domain, because Ranqo queries the AI platforms directly. Connecting Google Analytics 4 to see AI-referred visitors is optional, as is a lightweight snippet for counting AI crawler visits on your own server.
ChatGPT, Perplexity and Gemini on Starter; Pro and Business add Google AI Overviews; agency plans choose any 4 of 6, with Claude and Grok joining the pool. Every answer is scored the same way on every platform, so per-platform numbers are directly comparable.
Your first run gives you a baseline the same day. Measurement after that is weekly, and the Action Center counts a change in runs rather than days: two runs give a provisional reading, three to four before an absence of movement is defensible. Readings inside the measured noise band are shown as no detectable change rather than as a number, so you are not handed sampling variance dressed up as progress.
The rest of the loop. Page audits explain why AI cites some pages and skips yours, the Action Center turns the data into fixes ranked by impact and re-measures each one, and Content Lab drafts material built to be cited, publishable to your CMS in one click. Tracking is where it starts, not where it ends.
