Team and seats
Invite teammates to your Ranqo account, how seats and pending invites are counted, what members can and cannot do, and how to remove or leave.
A Ranqo account can have more than one person on it. The person who created the account is the owner; everyone they invite is a member. Members work on the same brands, with the same data, as the owner.
Seats
Each person on the account uses one seat, and that includes you. Your plan sets the number:

A plan with one seat has no team: on it, the Team section says so and links to Upgrade. Business plans are set up with you; book a demo to discuss seats. See Plans and limits for every limit.
A pending invitation holds a seat until it is accepted, revoked or expires. The Team section shows the count, such as "2 of 3 seats used", and disables the invite field once every seat is taken.
Invite a teammate
Open the Team section
Go to Settings and find Team. Only the owner sees the invite field.
Send the invitation
Type your teammate's email address and choose Invite. They get an email with a link. Any permanent address works, including a personal one; disposable addresses are refused.
Wait for them to accept
The invitation shows as Pending in the list. The link works for 7 days. Inviting the same address again replaces the pending invitation with a new one, and Revoke cancels it and frees the seat.
Accepting an invitation
The link opens a page that names who invited them, such as "Priya invited you to Ranqo". From there:
- Create an account to join signs your teammate up with the invited address and joins them to your account in one step.
- I already have an account signs them in first, then accepts.
- If they are already signed in with the invited address, Accept invitation joins them.
An invitation names one email address, so it can only be accepted by an account with that address. It is also refused when the person:
- already belongs to another Ranqo account (they must leave it first),
- owns a team of their own, or
- has brands on their own account. Joining would hide those brands, so they need to be moved across first.
It is also refused if every seat on your plan is already taken when they accept.
What members can do
Members can use every feature on every brand in the account: tracking, prompts, audits, the Action Center, outreach and content. They can edit brands and publish through integrations the owner has connected.
A few things stay with the owner. Only the owner can:
- manage billing: choose, change or cancel the plan. Members do not see Plan & billing in Settings, and the Upgrade page tells them the plan is managed by the account owner;
- manage the team: invite, revoke and remove people;
- manage integrations: connect or reconnect Google Analytics, connect or disconnect WordPress, and create or delete Site Tracking keys. No one, the owner included, can disconnect Google Analytics from the dashboard; see Google Analytics 4;
- delete a brand;
- delete the account. Members do not see the Danger zone in Settings.
If a member tries one of the billing, team, integration or brand actions, Ranqo refuses with "Only the account owner can do this. Ask them to make this change." For Google Analytics, pressing Connect, Continue with Google, Add Google Analytics or Reconnect takes the member out of the dashboard to a page that shows this message as raw text; going back returns them to where they were. Members can still press Sync now on Google Analytics.
Everything a member does counts toward the owner's plan: their prompts, audits and posts use the account's allowances. Their access also follows the owner's plan, so if the owner's trial ends without a subscription, members lose access too.
Your profile, password, email preferences and product-tour setting stay personal to you, whoever owns the account.
Remove a member or leave
- The owner removes someone with the remove button (an ✕) beside their name, then Remove. They lose access to your brands straight away, and their work stays on the account. Adding them back takes a new invitation.
- A member leaves with Leave beside their own name, then Leave. They go back to their own account. Rejoining takes a new invitation, because the one they used has been redeemed.
An owner cannot delete their account while it has members: remove them first, since deleting the account also deletes the brands they work on.
Working with clients
Agency plans hold more brands per account: 10 on Agency Growth and 25 on Agency Scale. Everyone on the account sees every brand in it. There are no per-brand permissions and no separate logins for clients.
To share results with a client, export them: the Visibility PDF, a Page Audit PDF, or the Sources data as Excel or CSV. See Reports and exports.
